As our new Claims Specialist, you’ll play a vital role in supporting our clinic’s revenue cycle by focusing on diligent claims follow-up and accurate posting of insurance payments. Your main responsibilities include monitoring outstanding claims, communicating with insurance providers, and taking swift action to ensure timely payments. In addition, you will be responsible for posting insurance payments and maintaining accurate records that directly support our financial operations. By advocating for prompt reimbursement and ensuring payments are properly recorded, you help keep our operations running smoothly so we can continue to deliver the highest quality care to our patients.

What You’ll Do

  • Process and submit insurance claims efficiently and accurately
  • Use ICD-10 and ICD-9 coding for billing and documentation
  • Monitor, track, and follow up on outstanding insurance claims to secure timely payment
  • Post insurance payments accurately and maintain up-to-date financial records
  • Communicate with insurance companies to resolve discrepancies and denials
  • Assist patients with billing and insurance inquiries
  • Stay current with evolving coding regulations and insurance policies

Your Qualifications

  • Experience in medical billing or claims processing (OBGYN or healthcare setting preferred)
  • Familiarity with EHR systems and billing software
  • Strong grasp of ICD-10, medical coding, and terminology
  • Exceptional organizational skills and attention to detail
  • Ability to communicate clearly and compassionately with patients and colleagues
  • Knowledge of HIPAA and commitment to confidentiality
  • Independence, initiative, and a positive attitude

What You’ll Do

  •  Oversee the patient registration process, ensuring accurate and timely entry of patient data, insurance information, and financial details.
  • Process daily payments, including copays and account balances, ensuring all financial transactions are recorded accurately and in a timely manner.
  • Schedule appointments in person and by telephone for all WHCOSO locations.
  • Support clinical staff by ensuring exam rooms are properly stocked, clean, and ready for patient use.
  • Assist in managing patient medical records by ensuring accurate, timely scanning and filing of documents.
  • Ensure completion of patient requests for FMLA and Short-Term Disability.

Your Qualifications

  • Experience in an administrative role or front office coordination, preferably in a healthcare setting.
  • Must be able to work independently with minimal supervision, demonstrating strong initiative, time management, and problem-solving skills.
  • Strong computer literacy with proficiency in office software and data entry systems.
  • Excellent phone etiquette and communication skills to interact effectively with patients and staff.
  • Demonstrated organizational skills with the ability to manage multiple tasks simultaneously.
  • Ability to communicate clearly and compassionately with patients and colleagues
  • Knowledge of HIPAA and commitment to confidentiality
